Adding colleagues, what a seat costs, the two permission levels, and what actually happens to a caseload when someone leaves.

A seat is a licence for a colleague to log in. It is not the same as a place on your plan for a participant — see Approving people for that one.

Team management is org-admin only, and is not available during the trial: a trial workspace is limited to a single counselor seat.

The two permission levels

There are exactly two, and no read-only or assistant tier exists:

  • Org admin — everything below, plus the Organization section: profile and public page, team, billing, and analytics.
  • Counselor — everything to do with participants and assessments.

Both see the same participants. Access is scoped to the organisation, not to individual counselors — there is no "my caseload" boundary in the data. Any counselor in your organisation can open any participant and any assessment.

Add a colleague

Enter their email address and choose Invite.

If your organisation is billed through Stripe, you are shown the cost first — how many seats you are going from and to, and the per-seat price. Confirm and the seat is added to your subscription.

The quoted figure is list price. Volume discounts above two seats are applied when the subscription is actually updated, so the real cost can be lower than the dialog suggests.

What your colleague receives

A welcome email with a link to the dashboard — not an invitation to accept.

Their account is created immediately, whether or not they ever open that email. There is no accept step, no decline, and no password-set link — because staff accounts have no password at all. They sign in by entering the invited email address on the sign-in page and then the six-digit code sent to it.

This is the most common support question about invitations. If a colleague says they never got an invitation, or asks where to set their password, the answer is the same in both cases: go to the sign-in page and enter the address you invited. Nothing has to be set up first, and there is no password to forget.

If the code does not arrive, the address on the account is the thing to check — it is the only place the code is sent.

When you have no seats left

The invite fails with a message telling you the limit. The form does not warn you in advance — the button stays enabled and you find out on submit.

Add seats from BillingPlan & Seats, or upgrade the plan.

Removing someone

Removing a colleague revokes their access to the organisation. Their account survives, and so does everything they made — assessments they created stay, and participants stay exactly where they are.

There is nothing to reassign. Participants belong to the organisation, not to a counselor, so nobody is orphaned when someone leaves. Every remaining colleague already sees them.

The seat is released from your subscription at the same time.

Two rules the interface enforces:

  • You cannot remove yourself.
  • You cannot remove the last org admin. Promote somebody else first. An admin also has to be demoted to a counselor before they can be removed at all.

Granting or removing admin rights emails the person concerned.
