Billing is org-admin only. It has four tabs: Overview, AI Credit, Plan & Seats, and Payments & Invoices.
What you are charged for
Two different things, and they are easy to confuse:
- Counselor seats — colleagues who can log in. See Team and seats.
- Participant capacity — how many people you can approve. Practices buy a caseload; schools buy an annual student capacity. See Approving people.
AI usage is separate again, and is paid from a balance rather than a subscription.
Overview
Read-only: your plan and its status, the renewal or cancellation date, seat usage, participant usage, and your AI balance. It warns you when you are over your seat limit.
AI Credit
Your organisation holds a balance in euros — not a pool of tokens or "credits" you count.
- Buy credit in fixed amounts: €5, €10, €25 or €50. There is no free-text amount.
- Automatic top-up can be switched on with a threshold and an amount, so AI features do not stop mid-session.
- The ledger lists every charge with a date, what it was for, and the balance afterwards. Charges under a cent show as < €0.01.
- Export CSV — the only export anywhere in billing.
Credit purchases produce no invoice. The ledger and its CSV are your record of them.
There is a rough "lasts about N days" estimate on the Overview. It is extrapolated from recent usage and disappears when there is too little history to be meaningful — treat it as a hint, not a forecast.
There is no per-counselor spending cap. The balance is shared across the organisation. What each counselor does have is an on/off switch for AI on their own participants.
When the balance runs out
AI features pause. Everything else keeps working — the pause is limited to the AI, and no participant data or plan is affected.
You get a warning while the balance is still low, which is the moment to turn on automatic top-up.
Plan & Seats
Where you change what you are paying for: billing period, which NexPlanner modes are included, seats, and participant capacity, with a live price preview before you commit. Downgrades take effect at renewal rather than immediately.
You cannot cancel your subscription here. There is no cancel control in this interface. Use the Stripe portal from Payments & Invoices, or contact NexPath.
Payments & Invoices
Your billing details (company, address, country, VAT ID), a link to the Stripe portal for card and billing-email changes, and your invoice history — each invoice downloadable as a PDF.
If your organisation is billed manually
Many organisations are on a contract rather than card billing. If yours is, the plan tabs explain that self-checkout is switched off and changes go through your NexPath contact.
AI credit and automatic top-up still work normally on a manual contract.
